Venue Contracts: The Questions to Ask Before You Sign
You signed the venue contract. You were relieved — months of searching, finally a deal. Then, at your walkthrough a week before pageant day, you learned there's a three-hundred-dollar cleanup fee, a four-hundred-fifty-dollar AV tech charge, and a policy that says any decor must be removed within sixty minutes of event end. Your whole budget just shifted.
This happens to almost every director at least once. Venue contracts are dense, intentionally, and "standard event package" often means "the base rental, plus anything you can think of, at whatever we'd like to charge." The fix isn't suspicion. It's a checklist.
The Questions to Ask Before You Sign
- What is the all-in cost, not the base rental? Get a line-item breakdown — rental, staffing, AV, cleanup, insurance, security, parking. Get it in writing before you sign.
- What hours do I actually get? Not just event hours — load-in and load-out. A venue that charges extra for early access will add hundreds on the day.
- Can I bring in my own photographer, AV, and caterer? Some venues require in-house providers at markup prices. Know this before you commit.
- What's the deposit, and when is it refundable? Get the refund schedule in writing. "Fifty percent refundable up to thirty days out" is normal. "Non-refundable at any time" is a red flag.
- What happens if I have to reschedule? Weather, emergency, illness. Ask the question out loud and get the policy on paper. Don't assume good faith.
- Is liability insurance included, or do I need to provide my own? Most venues require a certificate of insurance. Know what minimum coverage they want.
- Can I decorate? What restrictions? No tape on walls, no helium balloons, no candles — each can become a fee if you break it without knowing.
- What's the cancellation policy on their end? If they cancel on you, what do you get back? Make sure it's in writing.

A bad venue deal can eat your entire margin, turning a profitable pageant into a break-even one. A good venue deal is the foundation of a sustainable event. These questions cost nothing to ask — and they'll catch every hidden cost before it lands in your lap.
